Privacy Policy

Last updated: October 20, 2026

Who we are

My Nails Clinic is a California sole proprietorship providing the cosmetic nail-care services described on this website in San Francisco, San Mateo, Palo Alto, and confirmed Peninsula communities.

This Privacy Policy explains how My Nails Clinic (“My Nails Clinic,” “we,” “us,” or “our”) handles personal information when you visit this website, contact us, or submit an appointment or service request.

Information we collect

Information you provide

We may collect information you submit through a website form, email, telephone call, or other communication, including:

  • Your name, email address, and telephone number.
  • The city, Peninsula area, address, or other location where services are requested.
  • The requested service, preferred date, appointment details, and scheduling information.
  • Nail-care preferences and information about access, setup, comfort, mobility, or safety that you choose to include in an appointment request.
  • Information you provide when arranging a visit for another person, a group, a workplace, an event, or a care or managed setting.
  • If you leave a comment on a post, the comment, your name and email address, and any optional website address you submit.
  • Other information contained in a message or follow-up communication.

Please provide only information reasonably needed for your request. Do not send Social Security numbers, payment-card details, account passwords, or other highly sensitive information through a general website form or ordinary email.

Information collected automatically

When you visit the website or submit a form, the website and its service providers may automatically receive technical information such as:

  • Your Internet Protocol (IP) address.
  • Browser, device, and user-agent information.
  • The page from which a form was submitted.
  • Submission date and time.
  • Security, traffic, and cookie information used to deliver and protect the website.

For a website comment, WordPress also records the comment’s submission time, IP address, and browser user-agent information for moderation and spam prevention.

How we use information

We use personal information to:

  • Respond to questions and service inquiries.
  • Review, coordinate, and confirm appointment requests.
  • Confirm a requested service, location, access arrangements, availability, timing, and price.
  • Communicate about a requested, scheduled, changed, or completed service.
  • Coordinate with a parent, guardian, caregiver, facility, organizer, or other person when you ask or authorize us to do so.
  • Maintain appropriate appointment, communication, and business records.
  • Operate, troubleshoot, secure, and improve the website.
  • Detect or prevent spam, fraud, misuse, and security incidents.
  • Comply with applicable legal, tax, accounting, or regulatory obligations.
  • Establish, exercise, or defend legal claims when reasonably necessary.

Submitting a website form is a request for contact or scheduling. It does not by itself confirm an appointment.

How we disclose information

Website form submissions are processed through WordPress and Piotnet Forms. A submission may be stored in the website’s form database and delivered to My Nails Clinic’s business email accounts. Website comments are processed and stored through WordPress and may be reviewed before publication.

We may provide information to service providers that help us operate the website and communicate with clients, including:

  • Website hosting, database, caching, maintenance, and administration providers.
  • Piotnet Forms for form processing and storage.
  • Cloudflare for website delivery, traffic management, and security.
  • Email delivery and inbox providers, including the providers serving our business email accounts.
  • Gravatar, an Automattic service, if an approved commenter has an avatar associated with the email address supplied with the comment. In that case, the avatar may appear publicly beside the approved comment.

These providers may process information only in connection with the services they provide to us, subject to their own terms and privacy practices.

We may also disclose information:

  • To a parent, guardian, caregiver, facility, organizer, or other person when you request or authorize the coordination.
  • To professional advisers when reasonably necessary for accounting, insurance, legal, or similar business purposes.
  • When required by law, legal process, or a lawful government request.
  • When reasonably necessary to protect a person’s rights or safety, investigate misuse, or establish or defend legal claims.
  • In connection with a business transfer, subject to appropriate handling of the information.

The inspected website is not currently configured with behavioral advertising, advertising pixels, active website analytics, or an online payment processor. No mechanism that sells website-collected personal information or shares it for cross-context behavioral advertising was identified in the inspected website. If these practices change, this policy and any legally required choices will be updated before the change takes effect.

Cookies and online tracking

The website uses cookies and similar technologies needed to deliver and protect it. Cloudflare currently sets the __cf_bm cookie for bot detection and website security. Cloudflare describes this cookie as strictly necessary for its bot-management services and states that it expires after 30 minutes of continuous inactivity.

The inspected website did not show advertising or behavioral-analytics cookies. Because the website is not currently configured to collect your activity over time across unrelated websites for targeted advertising, browser “Do Not Track” signals do not change how the website operates. We did not identify other parties collecting personally identifiable information about visitors’ activity over time across unrelated websites through this site.

If you leave a comment and choose the comment-form option to save your details, WordPress may store your name, email address, and optional website address in cookies on your device so you do not need to re-enter them for a later comment. This choice is optional.

You can use browser controls to remove or block cookies. Blocking a security or other necessary cookie may affect website operation. If analytics, advertising, embedded media, or another non-essential technology is added, we will update this policy and provide cookie choices where required.

Data retention

Form submissions may exist in both the WordPress/Piotnet Forms database and My Nails Clinic’s business email accounts. Comments and their associated metadata may remain in WordPress while the comment is published, held for moderation, or reasonably needed for moderation, spam prevention, security, or recordkeeping. We retain personal information only for as long as reasonably necessary to respond to and coordinate a request, provide a confirmed service, maintain appropriate business records, resolve disputes, protect the website, or meet legal, tax, accounting, and regulatory obligations.

The period varies by record type and circumstances. We consider the information’s nature and sensitivity, why it is needed, the risk of keeping it, and applicable requirements. When information is no longer reasonably needed, we delete or de-identify it where reasonably practicable. Residual copies may remain temporarily in backups or security logs until they are overwritten under the applicable provider’s normal cycle.

Your choices and requests

You may ask us to provide access to, correct, or delete personal information associated with you by emailing [email protected] or [email protected]. Please describe your request and the information involved. We may need to verify your identity or authority before acting on a request.

Depending on the circumstances and applicable law, a request may be limited or denied when information is needed to complete a requested service, maintain required records, prevent fraud or misuse, protect safety or security, comply with law, or establish or defend legal claims. We will respond to valid requests as required by applicable law.

Information about other people and minors

If you arrange a visit for another person, provide their personal information only when you are authorized to do so. Make this Privacy Policy available to them when appropriate and involve them in service and comfort decisions whenever possible.

The website is intended for adults, including parents, guardians, caregivers, and other authorized adults arranging services. The website states that a parent or guardian is required for teen services. Children under 13 should not submit a website form directly. A parent or guardian may contact us about a service request. If you believe a child under 13 submitted personal information directly, contact us so we can review and delete it where appropriate.

Data security

We use reasonable administrative and technical measures intended to protect personal information. No website, email transmission, database, or storage system can be guaranteed to be completely secure. Please avoid sending information that is not reasonably needed for your request.

Changes to this policy

We may update this Privacy Policy to reflect changes to the website, our practices, or applicable requirements. The date at the top identifies the current version. If a change materially affects how we use or disclose information already collected, we will provide an appropriate notice on the website or by another reasonable method before the change applies where required.
